This Payment Policy and Financial Conditions outlines the terms governing all payments made to Agence India Travel Arts LLP (hereinafter referred to as “the Company”) for travel services, tours, itineraries, and related arrangements. By confirming a reservation and proceeding with any payment, the traveler acknowledges having read, understood, and accepted the following financial conditions.
1. Deposit Requirement
All travel services organized by the Company require an advance payment of fifty percent (50%) of the total trip costin order to confirm the reservation. This deposit allows the Company to secure accommodations, transportation, guides, and other services with its suppliers. Until the deposit has been received and confirmed by the Company, all requested services remain subject to availability and cannot be guaranteed.
2. Balance Payment
The remaining balance must be paid no later than forty-five (45) days prior to the traveler’s arrival date in India, unless otherwise specified in writing by the Company. If the remaining balance is not received within the required timeframe, the Company reserves the right to cancel the reservation and apply the cancellation conditions described in the Terms and Conditions of Sale.
3. Accepted Payment Methods
Payments to Agence India Travel Arts LLP may be made through international bank transfer, secure online payment systems, or credit/debit card payments where available. The Company may provide payment instructions including bank details or secure payment links. Travelers are responsible for ensuring that payments are made using authorized and secure channels provided by the Company.
4. Banking and Transaction Charges
All bank transfer fees, intermediary bank charges, currency conversion costs, and international payment processing fees remain entirely at the traveler’s responsibility. Payments made via card or international platforms may be subject to a four percent (4%) banking and transaction processing fee, which is non-refundable under all circumstances.
5. Currency and Exchange Rate Conditions
All prices provided by the Company are generally quoted in Euros or Indian Rupees unless otherwise specified. Payments made in a different currency may be subject to exchange rate variations and conversion fees applied by banks or payment providers. Agence India Travel Arts LLP cannot be held responsible for differences caused by currency exchange fluctuations or additional fees imposed by financial institutions.
6. Payment Security and Fraud Prevention
The Company takes reasonable precautions to ensure that payment procedures are conducted through secure and reliable financial channels. However, travelers must ensure that payments are made only through official banking details or authorized payment platforms provided directly by the Company. Agence India Travel Arts LLP shall not be held responsible for losses resulting from payments sent to unauthorized accounts due to fraud, phishing attempts, or third-party interference.
7. Chargebacks and Payment Disputes
In the event that a traveler initiates a chargeback, payment dispute, or reversal through a bank or credit card provider, the Company reserves the right to suspend all services related to the reservation until the matter has been resolved. Any unjustified chargeback may result in additional administrative costs, legal procedures, or cancellation of services. The traveler agrees to contact the Company first to resolve any payment concerns before initiating a dispute through financial institutions.
8. Supplier Payment Obligations
Agence India Travel Arts LLP works with a network of hotels, transportation companies, guides, activity operators, and other travel service providers. In order to secure bookings, the Company may be required to prepay certain services to suppliers. Once such payments have been made to suppliers, they may become partially or fully non-refundable depending on supplier policies. These supplier conditions will apply to the traveler’s booking.
9. Financial Responsibility of the Traveler
The traveler is responsible for ensuring that all payments are made in accordance with the deadlines and conditions specified by the Company. Failure to comply with payment deadlines may result in cancellation of reservations, loss of deposits, or additional charges imposed by service providers.
10. Acceptance of Payment Policy
By making any payment to Agence India Travel Arts LLP, the traveler confirms that they have read, understood, and accepted this Payment Policy and Financial Conditions, as well as the Company’s Terms and Conditions of Sale and other applicable policies governing the travel services provided.
